Meeting opened: 7:03 pm

Present & Apologies : As per attendance book.
 
Minutes: The minutes of the previous meeting were read and passed as true and correct.

Business arising from minutes:
 
Lollies did not go missing Genevieve Leonard place them in the jar.
Trivia night will be run by Neil Munroe, date is yet to be decided.
The canteen won’t be selling popcorn as it was very fiddly and messy.
The lampshade was given to Ruth.

A letter regarding grant for the school, which the school did not receive the grant.

Opening Balance May 2011 -$5,901.87

There needs to be at $3,000.00 in the bank book for operating cost for the P&C. The computer fundraising is now at $1,868.60.
 
Presidents Report:                                                                                                            
 
Welcome everyone. Would like to start by saying thank you to all those involved with Starstruck. Thank you to Miss Harris, Jackie Woodward all the supervising teachers. Thank you to Leanne Smith & Nicola Winchester for the hours spent making all the costumes. I know it was a massive job. Thank you to the students, they danced well. It was a concert worth seeing. Thank you to the well behaved kids we transported to and from Newcastle, well at least mine in care were well behaved.
 
Bunnings BBQ went well on the weekend, no rain lots of sausages cooked. I believe many turned up to help, thank you. A big thank you to Staci for taking on board and overseeing that the day ran smoothly. The profits for the day were $1,190.57
 
Thompson pie drive also went well. Thank you for the volunteers for their help. A big thank you to Donna Morris for organizing. Profits made - $424.35.

All is good. I will issue a note in the newsletter regarding winter uniform available from the uniform shop.  I would also like to advertise on the notice board winter uniforms available out the front too. There is plenty of second hand stock available. I will also order a box of hats.
 
Canteen Report:
Genevieve Leonard: Currently organizing the sports carnival. I have got all the food, just have to buy bread and milk for the day. The school only has 1 BBQ to use. I will book and hire another BBQ. I can’t find the urn at the moment. The P&C believe it might be in the library from election day. Kaylene offered to loan her urn if the canteen’s urn cannot be found.
There are drinks left over from the Bunnings BBQ, will try to sell them at carnival. I had to buy extra tea & coffee cups with lids. 
We will use the pie warmers from the school canteen. Staci has frozen onion from the Bunnings BBQ to bring to the carnival.
 
Rochelle Tubb: Canteen volunteers, there are a couple days without volunteers to fill for next term. I would like to have canteen closed first week school returns in term 3, as there is only Thursday and Friday in the first week. I would like to have a notice on the white board to make parents aware. Could we have no canteen on the last week of term 3, as it is easier to fill volunteer position throughout the duration of the term.

Principals Report:
 
The new tables have arrived yesterday. We are in the process of moving the computers from the library to computer room.
Thank you to everyone involved in Starstruck and to the P&C for the money for supervision.
The Sport’s carnival is on Friday thank you to Genevieve Leonard and the volunteers for the canteen and BBQ.
We had the girls soccer on Monday, the Debate team with Paterson on Wednesday. 
The stockland star is going to be coming soon, Miss Harris will be the organizer and the theme this year is multi culture.
 
General Business:
 
Donna Morris asked if the Year 6 is holding a disco, if they are not could the P&C run it instead. Mark Cridland will check with Helen Bortfeld.
Trivia Night - term 3 date to be held is on 17 September at the time of 6.00 B.Y.O alcohol andnibblies. No children are allowed. Cost is $10.00 per head for 10 per table, maximum of 10 tables in hall. There will be a raffle, ask Hinton parents if they wish to donate a gift for the raffle.

Term 4 for the masquerade ball, possible date for the night 5 November. Will check with Belinda Walterback as well.

Leanne Smith would like to order gifts for the Father’s Day stall. She would like to purchase 180 gifts at a cost of $567.50

Shopping Trip date 23 October through Sid Fogg Coaches to hire the coach will be $1,300.00. This will be a 52 seated dual door coach, the recommended cost is $38.00 per head. There is an option to have a sit down lunch at an extra cost of $15.00. Will depart at 6.30 am and return at 7.00pm. There is no need for the P&C to place a deposit on the coach, just need to place the booking. Kaylene will bring out a note with an expression of interest with a request of a $20.00 deposit. There needs to be a separate receipt book for any payments of bus trip.

Kim Lantry is organizing a mobile phone fundraiser, it doesn’t give money but gifts e.g. Digital cameras it’s in conjunction with the Youth with Cancer Foundation.
 
Gail Burns has asked Genevieve Leonard for the Games Day held at Hinton School for Kindergarten to Year 2 could they sell a sausage sandwich, a can of drink and a piece of fruit $2.50 on the day. Mrs Eade Armstrong is kindly donating apples from the orchard. There will be149 students in attendance for the day. Will need to have a note to ask for Kindergarten to Year 2 volunteers to cook the BBQ.
The canteen will be closed for this day.
 
Genevieve Leonard has asked if the long jump be place in a better position as it is up a hill and needs to be flat and it is making it difficult for students to qualify for zone.
 
Hinton School can use the canteen at zone on 5 August at Woodberry oval starting from 8am this is a big fundraiser, there will be a need for approximately 15 volunteers throughout the day. Genevieve Leonard will place a note in the newsletter before the end of term.
 
Kaylene Kennerson asked if possibly next year could they do a chocolate fundraiser, will discuss in future P&C meetings.
