MiNUTES OF THE general meeting of hinton school
p & c Association inc.

Meeting opened: 6.02 pm
K.Kennerson presiding, welcome everyone.
 
Present & Apologies : As per attendance book.
 
Minutes: The minutes of the previous meeting were read and passed as true and correct.

Business arising from minutes:
 
The shopping trip has been cancelled as there were only 13 people interested, 38 people needed
 
For the trivia night we will need an organizer, Neil Munroe is happy to do the night, the proposed night November 5th, depending on vacancy of hall.

Cash procedure will be passed over onto the next meeting
 
Mr Milson and Morpeth Butchery will require a Certificate of Appreciation. J.Woodward will do.
 
Disco could run at lunch time or run by Year 6 parents, will know by Thursday after Parliament.

Opening Balance August 2011 - $5,309.79
Balance as per book August 2011 - $10,069.30

1)     Please see the change as discussed at July meeting regarding the sports carnival in July. I had the Kev Baldwin $491.55 account in the wrong columns. I the canteen column should have been an extra $271.55 and sports carnival column $220.00. This has given the sports carnival a profit of $622.85
 
2)     The zone carnival was a huge financial success. In the last column the profit is $2801.59. Well Done
3)     In the canteen column as at the end of August the canteen income/loss is $1327.74. The column next to it, is the repairs of $230.10. However, I have entered the data for September to see how the canteen income is. At present it is a profit of $245.64. I estimate another $300.00 of sales on Thursday and Friday. This will be explained in the canteen report.
4)     I have concerns the green drink bottles are not moving and requesting the P& C discuss the bottles cost $827.20. There are 250 purchased. About 15 have been sold. 
 
Drink bottles purchased for the overall sale over a period of 4 years. P&C motion to advertise during hot periods, orientations, carnivals, display in office and canteen.

5)     Is the donation to from our school and our total for the Computer room. At present we have $6854.54 from our fundraiser’s for the computers
6)     The Easter raffle was a huge success and gave a great profit. I was just enquiring if another raffle could happen for Christmas through donations, such as food, toys etc from families for hampers.  
P&C gave no resolution.
7)     Morpeth Grocers, I have managed to get the invoice changed to a statement which they now give me on the first of the month. It states what has been purchased.

Thank you to Genevieve Leonard for organizing the zone carnival and to all the helpers. Thank you to Leanne Smith and volunteers for the Father’s Day stall.
If there is any issues that need to be discussed please do it directly to the person.
 
Uniform Co-ordinator
 
Uniform shop is going fine. I have a sample pair of green shorts, the wholesale price is $9.60. I do find people have trouble getting green short. These are good quality and have a zip pocket. Advantages, parents won’t need to shop around. Can we keep in the shop to purchase? How much do we need to sell them for?

Canteen Report:
A review of Canteen prices/ costs has verified the canteen as currently making minimal profit.
 
Mainly due to price rises of purchased stock
No adjustment in sale prices to date
Note,selling some slow moving items
Purchasing from Morpeth shop at higher cost
Purchase of OH&S equipment and products now required
Student award items for free
Stock being purchased for select individuals at cost.
 
Amendments required - Price increase
New Price List to be issued start of Term 4, 2011
Parents & students to be notified this week
Reduce number of items available(slow moving and items that require a lot of preparation i.e. hot foods with salads)
Buy wiser
Morpeth Shop purchases minimized
Profit margins to be monitored upon receipt of stock
Canteen is no longer provide student awards for free.
No Sale of any stock to individuals permitted.
 
We have a shortage of canteen volunteers for Term 4. It is concerning this shortage may possibly continue next year. A continued request of new volunteers has had no response. 3 volunteers are no longer available due to other commitments & 2 volunteers are reducing from 2 or 3 days a term to 1 day.
This leaves 9 days without a volunteer for Term 4.
Suggestions to deal with current situation are:-
Close canteen 1st and last week of Term 4
Reduce number of days canteen is open each week
Principal to provide a list of all planned school events which will affect students attendance numbers with as much advance as possible to ensure available volunteers are scheduled wisely.
Consideration to closing the canteen for morning teas so volunteers are required for less hours, possibly making volunteering for the canteen more attractive
 
There will be no meal deal this term due to lack of volunteers
 
Port Stephens Council will be undertaken inspection of the school canteen 9am this Friday 16/9/2011. Canteen Co-ordinator will be attending
 
The canteen committee has requested the Treasurer to work out total profits raised from this years i.e sports carnival and other fundraising activities and would like to see that amount (approx $6,800.00) gifted to the school to be spent on the computer room as intended
 
Rochelle Tubb wishes to be notified when a change of person is rostered to canteen.
 
P&C Motion Canteen is no longer to give free student awards
No purchasing of canteen stock at wholesale to individuals except for deterioting stock, end of year excess or by permission of the canteen co-ordinator.

Genevieve Leonard will advices volunteers of changes and a note will be issued for canteen closure and price list changes in the newsletter.

 Principals Report:
 
The computer room could cost approximately $13,500.00, with the refund of the smart board of $4,000.00.
Moving the computers in the holidays, just waiting for holes to be drilled in desk for leads. All should be set up and running by the end of term 4.

The email regarding web page was legitimate, was requesting $70.00 per month to update web page
The excursion for 4/5/6 was a big success, thank you Helen Bortfeld,to the helpers, Leanne Smith, Sue Allen & Kaylene Kennerson
Public Speaking 4 students attended, Kristen Allen, Breanna Kelly, Bridget Doulas.  Amber Wilkes, was stage winner. Well done to the students.
The newspaper was published thank you to Rochelle Tub for her organization and to the students for all their effort, it was a credit to all involved.
Writing Competition will be judged on Friday
Mark Cridland has been on a 3 day in-service for discipline of children
Kinder orientation will be on 2nd November, will need P&C members to attend
The number for 2012 are between 101 -106. The school needs to have more than 104, or will lose a teacher.
Tony Bones show 11 students missed the bus due to lateness.
Touch Football gala day will be on at Cessnock on Friday
Mr Walterback will come to school to spray for bindi’s
Sue Jordan is investigating emailing the newsletters and will issue a note
Millers Forrest Public School will visit the school parliament.
 
General Business:
 
Neil Munroe is happy to do the Trivia Night on the night need an organizer, propose it will be on 5th November depending of availability of the hall and that charge $10.00 per table. J. Kerslake has offered to donate a major prize. Note will go in the newsletter.

The Art Festival is running smoothly, have accomplished a great deal since the last meeting.
